Job Description

Covenant Christian School is a distinctly and explicitly Christian Prep to Year 12 co-educational day school with almost 900 students, located in Belrose on Sydney’s Northern Beaches.

ROLE STATEMENT

Our Front Office Administration team consists of a cohesive and friendly group dedicated to performing a wide variety of school administrative tasks that ensure the efficient and effective operation of Covenant Christian School.

 

The role primarily involves operating the Parent Reception desk, where we provide parents, contractors, and other visitors with essential information and support related to the activities of the school. The role also includes performing general administration duties that are crucial for the smooth functioning of our school.

 

As the first point of contact with the school, this position is pivotal in creating the right impression and requires strong relationships and office working skills. These skills are essential to facilitate the various tasks requested by the Front Office Team Leader (FOTL) and the Executive Assistant to the Principal.

KEY REQUIREMENTS

  • Committed Christian of a reformed evangelical persuasion actively involved in the life of their local church
  • Able and willing to sincerely affirm the School’s Statement of Belief modelling a lifestyle that reflects Christian practice and these beliefs in their everyday work and life
  • First port of call and ‘welcoming face’ to the school for parents and visitors to reception, plus a warm, friendly, and professional phone manner
  • Strong interpersonal verbal and written communication skills, with the ability to liaise across all levels of the school and with parents, staff, volunteers, etc.
  • Ability to work in a team, to sometimes work under pressure and in meeting service deadlines
  • Proactive mindset, strong organisational and planning ability, strong attention to detail, plus sound administration skills
  • Intermediate computer skills in word processing, spreadsheets and use of databases plus a welcoming and adaptive approach to new innovations in technology, service and productivity
  • Good understanding of and commitment to Christian Schooling

 

GENERAL DUTIES

  • Be the first point of contact for parents and visitors to the school
  • Based on Parent Reception, provide reception functions for parents and visitors
  • Answer the main switch and assist with queries from parents, students and staff
  • Attend to emails in the “administration” inbox in a timely manner and respond/forward to the appropriate person or department
  • Clear and action voicemail messages left on the main switch
  • Format and update daily messages for students for students and forward student daily absence report to teaching staff
  • Provide back-up support to the Student Reception desk and Sick Bay during busy times/staff breaks
  • General school administration duties
  • Incoming and outgoing post, including distribution to pigeonholes
  • Print and display room changes during exam times and when requested
  • Maintain keys and laptops for casual staff; and keys and logbook for contractors and tutors
  • Prepare Out of Class Passes and Smart Watch Exemptions for students as requested by Heads of Students, Year Coordinators or Learning Support Coordinator
  • Process Volunteer Code of Conduct forms and Working with Children Checks for parent helpers
  • Process the Quarterly Music Tutor Report from the ‘On Location’ system
  • Print Student Medical and Emergency Forms for camps and overnight excursions
  • Advise cleaners/security of after-hours events each week
  • Assist teaching staff with non-urgent photocopying
  • Enter bookings for C16 meeting room
  • Confirm changes to family contact details and student medical details received through the Edumate Parent Portal approval process or via email/phone
  • Maintain the staff log-out book
  • Undertake other tasks as specified by the Front Office Team Leader and Executive as required
